CLICKSOFTGROUP LLC ("we," "us," or "our") operates "MailPilot for Gmail" (the "Extension"). We are committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Extension.

Please read this Privacy Policy carefully. By installing and using the Extension, you agree to the collection and use of information in accordance with this policy. If you do not agree with the terms of this privacy policy, please do not access or use the Extension.

1. Information We Collect

To provide the core features of MailPilot for Gmail, the Extension accesses and processes the following types of information:

🔑 Authentication & Tokens

When you sign in using your Google account, we generate OAuth2 tokens. These credentials allow the Extension to securely communicate with the Gmail API on your behalf. These tokens are saved locally in Chrome secure storage and encrypted on our backend.

✉️ Gmail Data

To support key dashboard functions, we access email message headers, thread structures, body text, tags, and labels. We also handle email drafts and send messages at your explicit instruction.

Specifically, we collect the following:

  • OAuth2 Access & Refresh Tokens: Essential for maintaining a secure connection to the Google API.
  • Email Message Metadata: Sender/recipient details, subjects, times, and labels to organize your dashboard feed.
  • Email Body Content: Read only when requested (e.g. to run AI-powered conversation summarization or generate auto-reply suggestions).
  • Draft Data: Content created or updated when using our draft generation system.

2. How We Use Your Information

We only use your information to operate and improve the Extension features. We do not monetize your data. Specifically, we use it to:

  • Provide core dashboard features: view folders (inbox, sent, drafts), and manage conversation feeds.
  • Summarize email threads and suggest tags using natural language AI processing models.
  • Draft new messages or reply to existing emails directly from your extension window.
  • Monitor and verify authorization health to prevent session disruptions.

We do NOT sell your personal data or use your email content for advertising, marketing, or profiling purposes.

3. Google API Services User Data Policy & Limited Use Disclosure

MailPilot for Gmail's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

To adhere to the high privacy standards mandated by Google for accessing restricted Gmail API scopes, we enforce the following restrictions:

  • No Human Review: No employee, developer, or contractor of CLICKSOFTGROUP LLC will read your email content unless we obtain your explicit consent for specific troubleshooting instances.
  • No Advertising: We never use or transfer your email content or account data to serve advertisements, construct advertising profiles, or retarget marketing campaigns.
  • No Data Transfer: We do not transfer your data to third parties, except when necessary to provide the services you requested (e.g. secure AI APIs to perform summarization) and always under strict confidentiality agreements.
  • No Model Training: We do not use your Gmail content to train, retrain, or improve generalized AI/ML models. Any processing performed by AI services is stateless and strictly session-based.

4. Data Sharing and Transfer

We share your data only in the following limited circumstances:

  • Service Providers: We utilize secure third-party processors (such as artificial intelligence APIs) to analyze email text and generate drafts. These subprocessors are legally and contractually obligated to protect your data, maintain strict confidentiality, and are prohibited from storing or using it for any other purpose.
  • Legal Requirements: We may disclose information if required to do so by law, or in good faith belief that such action is necessary to comply with legal obligations or protect rights and property.

5. Security of Your Data

We implement robust security standards to safeguard your data:

  • Encryption in Transit: All communication between the extension, your browser, our backend api servers, and Google's endpoints is encrypted via secure HTTPS (TLS 1.2/1.3).
  • Storage Security: Your Google authentication tokens are housed locally in Chrome's secure sandboxed storage. They are never exposed to other sites or extensions.
  • Access Controls: Server-side databases and servers utilize encryption at rest and strict access controls limit entry to only system administrators.

6. Your Choices and Data Deletion

You have full authority over your account and connections:

  • Revoking Access: You can disconnect MailPilot for Gmail from your Google account at any time. Simply navigate to your Google Account Security Dashboard (Google Permissions Page) and click "Remove Access" for our application.
  • Logging Out: Signing out of the extension immediately purges all credentials, access tokens, and cached metadata from your local browser storage.
  • Data Purging: You can request full deletion of any metadata associated with your account from our backend database by contacting us at the support address below.

7. Changes to This Privacy Policy

We may update our Privacy Policy periodically to reflect changes in our services or legal regulations. We will announce any updates by posting the revised version on this page and updating the "Last Updated" timestamp at the top of the policy.
